1. Purpose
1.1 Advance Computing Pty Ltd (Advance Computing) is committed to ensuring the privacy and security of all personal information collected from its workplace participants, customers, suppliers and other parties that we make contact with.
1.2 We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The APPs govern the way in which we collect, use, disclose, store, secure and dispose of your personal information.
1.3 This Privacy Policy (Policy) does not form part of any employee’s contract of employment, nor does it form any other workplace participant’s contract for service.
1.4 This Policy relates to any personal information that Advance Computing collects, holds, discloses and/or otherwise uses via our website https://www.acomputing.com.au/ (Website) and any related Advance Computing terms of trade, website, social media, internal website, intranet, applications, or any other manner.
2. Commencement of Policy
2.1 This Policy will commence on and from 4 September 2026. It replaces all other Advance Computing privacy policies (whether written or not). In this Policy “we”, “us” and “our” refer to Advance Computing.
2.2 Advance Computing reserves the right to update or change this Policy at any time and you should check this Policy periodically. Your continued use of our services (including but not limited to our Website) after we post any modifications to this Policy on the Website will constitute your acknowledgement of the modifications and your consent to abide and be bound by the modified Policy.
3. Personal Information that we collect
3.1 The type of personal information we collect varies depending upon the nature of the engagement you have with Advance Computing but examples can include (but are not limited to):
• general identification information e.g. names, job title, employment status, occupation, date of birth, country of residence, citizenship, gender;
• contact details such as address, email address, phone numbers and internet protocol address;
• next of kin and emergency contact details
• relevant company, business and financial information;
• user names and passwords;
• educational qualifications, employment history, salary and references;
• payment details including payslips and other income earning information;
• information contained in identification documents such as passports and driver’s licences;
• government issued identification numbers such as tax file numbers;
• financial information such as bank account details;
• details of superannuation and insurance arrangements; and/or
• visa or work permit status, immigration status and related information.
3.2 In some circumstances it may be necessary for us to collect some forms of sensitive information. Examples of sensitive information we collect could include (but is not limited to):
• gender diversity;
• Race or ethnic origin;
• disability;
• membership of a professional, trade or political association or union;
• criminal History; and or
• Health Information.
3.3 We will only collect and use sensitive information for:
• the primary purpose in which it was obtained;
• a secondary purpose that is directly related to the primary purpose in circumstances where you would reasonably expect use or disclosure; and/or
• with your consent or where required or authorised by law.
3.4 Advance Computing collects only personal information that is reasonably necessary for, or directly related to, its functions or activities. The nature and extent of personal information we collect and hold will vary depending on a person's particular relationship and interaction with Advance Computing.
4. Collecting personal information
4.1 We collect and hold personal information from clients, employees, job applicants, contractors, suppliers, event attendees and other individuals. We collect and hold this information for our business purposes.
4.2 We may collect personal information from you directly or at times indirectly, for example:
• when dealing with you in person, over the phone or by written correspondence such as email;
• when you use our website or applications;
• when you use our portal to lodge a support request;
• when you use our social media;
• when you complete a form, questionnaire or survey; and/or
• when you attend our events.
4.3 Sometimes we will collect your information from third parties with your consent. This could include prior employment history from a referee, educational qualifications from an academic institution or medical history from a health professional.
4.4 Sometimes we may at times collect your personal information indirectly from public information or sources (including posts to social networking sites such as LinkedIn and X) and commercially available personal, identity, geographic and demographic information. When this occurs, we rely on the person or entity providing us with that personal information having the right to do so.
4.5 Personal information will be collected during the course of employment. Such information may include (but is not limited to):
• contract of employment details;
• Your use of and access to our managed and/or owned networks, devices, and/or premises;
• disciplinary, performance or grievance investigations and proceedings;
• details of attendance at and absences from work;
• details of training records; and/or
• details of the use of company property and equipment, emails and software.
5. Security of Personal Information
5.1 We may hold personal information indifferent ways including for example in hardcopy and/or electronic formats. We take all reasonable steps to keep all personal information stored securely and it will not be provided to an unauthorised third party. We use a range of physical, operational and technological security measures to protect your personal information. Such measures include:
• providing education and training to our employees and contractors on this Policy and how to protect your personal information which includes not saving personal data to personal computers or devices, not taking personal data away from premises unless required to do so for the proper performance of your role;
• administrative and technical controls to restrict access to personal information to only those you need access such as passwords and restricted access to electronic files;
• technological security measures, including firewalls, encryption, locking unattended computers and end protection software; and
• physical security measures such as security pass assess to our office and locked storage cabinets.
5.2 We periodically review whether we still need to retain your personal information. If it is no longer required, then we will take steps to delete or de-identify your information from our database as soon as reasonably practicable. However, it may be that certain information must be retained for legitimate business reasons or legal or compliance obligations.
Third Party Providers
5.3 We may use third party storage providers to hold information. This information may be held outside of Australia by the third party storage providers we use. If you are accessing the Website from outside of Australia, please be aware that your information may be transferred to, stored, and processed in Australia, where our servers and central databases are located. By using the Website, you consent to the transfer of your information to our facilities and those third parties with whom we share it, as described in this Privacy Policy.
5.4 Our business utlises artificial intelligence (AI) technology to enhance the efficiency, accuracy, and quality of the services we provides. AI is employed in various aspects of our operations, including but not limited to, analysing data to improve our products and services, personalising user experiences, and automating certain processes to deliver faster and more reliable outcomes. The use of AI is integral to our commitment to innovation and continuous improvement.
5.5 The AI systems we use may process a range of data types, including personal information provided by users, such as names, contact details, and preferences, as well as non-personal data, such as usage patterns and technical information about devices used to access our services.
5.6 Data is collected, processed and stored using third-party AI and analytics software, that is to the best of our knowledge secure and confidential. User data may be collected, processed and generated by AI software, which may involve the sending of data (including of voice communications) to online services.
5.7 AI software may generate and supply Advance Computing with user data as is reasonably necessary through the process of documentation programs or other use.
5.8 Analytical data is used to gain an understanding of user behaviour, perform system critical operations, and inn extraordinary circumstances, for legal reasons. Anonymous user data may be shared between third party services in order to gain insight as to aggregate user behaviour.
5.9 When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information.
6. Purpose for collecting, holding, using and disclosing personal information
6.1 The main purposes for which we collect, hold, use and disclose personal information are:
• to provide our products and services to our clients;
• to communicate and maintain contact with clients;
• for marketing purposes to our clients;
• for administrative purposes such as processing payment transactions and charging and billing;
• for purposes related to recruitment and the employment of personnel and contractors such as contacting referees, processing applications, assessment for suitability, meeting regulatory obligations of deducting tax and paying superannuation contributions;
• to improve and manage our products and services including developing new products, verifying your identity, to conduct surveys or seek your feedback;
• for development and analytic purposes to develop expertise including for benchmarking purposes, quality assurance, development of analytical trend reporting, and other purposes related to our business;
• for staff training and policy development;
• to confirm eligibility to work in Australia;
• to make travel bookings on an individual’s behalf; and/or
• where we are required to or authorised by legislation, regulations, rules, professional standards or industry code.
7. Marketing Communications
7.1 From time to time, you may be sent newsletters, promotional materials, industry developments and updates, information about products and services (including training and events) that we think you might be interested and find useful. This will be sent by email.
7.2 If you do not want to receive marketing communications there is an opt out option. We do not sell, rent or trade your personal information to third parties for other marketing purposes.
8. Sharing personal information
8.1 We may share your personal information with other parties including (but not limited to):
• third party clearing houses, debt collecting agencies;
• government agencies such as the Australian Taxation Office;
• our providers of IT services and subscriptions;
• third parties contracted by us as part of the provision of goods and services to you;
• our marketing agencies;
• our professional advisors (such as lawyers, accountants, auditors) and insurers;
• other parties when you ask us to do so or when you consent to disclosure for things like trade references, employment references, other third party providers needing access to your networks; and/or
• if required to do so by law or court order.
9. Visiting our Website and online
9.1 As you navigate through our Website, certain information can be passively collected (that is, gathered without you actively providing the information) using various technologies, such as cookies, Internet tags or web beacons, and navigational data collection (log files, server logs, and clickstream data).
9.2 The collection of this information allows us to personalise your online experience. You can manage and control the use of cookies through our browser.
10. Access to personal information
10.1 It is important that the personal information that we hold about you is accurate, up to date and complete. If your details change or you believe that any information we hold is incorrect, you can contact us, and we will take reasonable steps to correct it in accordance with the requirements under the Privacy Laws.
10.2 You can request access to your personal information that we hold about you. When you make a request for personal information we may require you to provide some form of identification so we can verify that you are the person to whom the information relates. You can make this request to our Privacy Officer via the contact details specified at clause 13.1 below.
10.3 If an exemption applies under the relevant privacy laws, such as the Privacy Act, it may be that certain personal information held by Advance Computing that you request access to does not need to be disclosed.
10.4 In some circumstances, where permitted under the applicable Privacy Laws, we may also request an administrative fee to cover the cost of access.
11. Data Breaches
11.1 If a data breach occurs that is likely to result in serious harm Advance Computing will notify the individuals and the Australian Information Commissioner within 30 days. The breach will be identified and steps taken to address the breach will be outlined.
12. Complaints
12.1 If you have a complaint about our handling of your personal information, we request that you make the complaint in writing to our Privacy Officer. The Privacy Officer can be contacted via the methods specified in clause 13.1 below.
We take all complaints seriously. If you are not satisfied with our response or the manner in which we have dealt with your complaint, you can refer your complaint to the Office of Australian Information Commissioner or to another review body if an external review is required.
